What we do with the details you give us, why we need them, how long we keep them, and the rights you have over them.

Who we are
Clarks Glass & Glazing Ltd is the data controller for the personal information described in this policy. We are a window, door and conservatory installer based in Ringmer, East Sussex, registered in England and Wales under company number 04610294, with our registered office at Units 9 & 10 Ringmer Business Centre, Ringmer, East Sussex, BN8 5NF.
If you have a question about this policy, want a copy of the information we hold about you, or want us to delete it, email info@clarksglass.com or call 01273 814077 and ask for the office. We will always answer within one month.
What we collect
We only hold information you have given us yourself. We do not buy lists, and we do not build a profile of you from your browsing.
- The enquiry form on this website: your name, email address, phone number, what your enquiry is about, which product you are interested in, and whatever you write in the message box.
- Anything you send us directly, by email, by phone, or in person at the workshop — including measurements, photographs and plans of your property if you choose to send them.
- If you become a customer: your installation address, the details of the work, and the paperwork that goes with it, including your guarantee and any FENSA registration.
- Our website host keeps standard server logs, which include the IP address of the device making each request. These are used to keep the site running and to spot abuse. We do not use them to identify visitors.
Why we use it, and our lawful basis
UK data protection law requires us to have a specific reason for every use of your information. Ours are set out below.
- Answering your enquiry
- Consent, which you give by ticking the box on the enquiry form. You can withdraw it at any time by telling us, and we will stop and delete the enquiry.
- Quoting for, and carrying out, work you have asked for
- Performance of a contract with you, or taking steps at your request before entering into one.
- Registering an installation with FENSA and honouring your guarantee
- Legal obligation, for building regulations compliance, and our legitimate interest in being able to stand behind our work for the full ten years.
- Keeping accounting and tax records
- Legal obligation.
- Keeping the website secure and working
- Our legitimate interest in running a site that is available and not being abused.
Who else sees it
We do not sell your information, and we do not share it for anyone else's marketing. It is seen by our own staff, and by the following, only as far as each needs it:
- The companies that run this website and store its enquiries on our behalf — our website host and our content management system. They process the data only on our instructions and cannot use it for anything of their own.
- Our email provider, because an enquiry form submission is also sent to us as an email.
- Manufacturers and suppliers, when a made-to-measure product has to be ordered for your job. They receive what is needed to make and deliver it.
- FENSA, when we install replacement windows or doors, so that the installation is registered and you receive your certificate. This includes the installation address.
- Our accountant, insurer, or a professional adviser, where that is necessary.
- Anyone we are legally required to disclose it to, such as under a court order.
How long we keep it
We do not keep information for longer than we need it.
- Enquiries that do not become jobs are deleted after 12 months.
- Customer records are kept for 10 years after the work is finished. This matches the length of the guarantee we give, so that we can honour a claim made near the end of it, and covers the six years we are required to keep accounting records.
- Server logs are kept for a short period by our host and then deleted automatically.
Where your information is held
Our website and its enquiry records are hosted on servers in the European Economic Area or the United Kingdom. If any of our providers transfer data outside the UK, they do so under safeguards approved for that purpose, such as the UK International Data Transfer Agreement or an adequacy decision.
Your rights
Under the UK GDPR you have the following rights over the information we hold about you. They are free to use, and we will respond within one month.
- To be told what we hold, and to be given a copy of it.
- To have anything inaccurate corrected.
- To have it deleted, where we no longer have a reason to keep it.
- To restrict what we do with it while a question about it is resolved.
- To object to us using it where we rely on legitimate interests.
- To receive it in a portable, machine-readable format, or have it sent to someone else.
- To withdraw your consent at any time, where consent is what we relied on.
Marketing
We will only send you marketing if you have asked us to. Every marketing message we send includes a way to stop it, and we act on that immediately. Answering your enquiry is not marketing, and asking us for a quote does not sign you up to anything.
Complaints
If you are unhappy with how we have handled your information, please tell us first — most things are quickly put right. Email info@clarksglass.com or call 01273 814077.
You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113. You can go to them directly; you do not have to come to us first.
Changes to this policy
If we change how we use your information, we will update this page and change the date at the top of it. This policy replaces the one previously published at clarksglass.org.uk/privacy.html.
